Overview

How we protect and use information

This notice explains what we receive, why we use it, how long we retain it, and how to contact us about your information.

1. Who we are and what this policy covers

Birkert Technology LLC provides custom software, automation and integration, software modernization, and managed software support. This policy covers personal information handled through this website, inquiries, and our business and client relationships. It does not replace a client's own privacy notice for systems it operates, or a separate data-processing agreement. Future Birkert products, including ChangeLogEngine, will have product-specific notices describing their actual account and data practices before signup. Contact Birkerttechnology@outlook.com with privacy questions or requests.

2. Information you provide

When you contact us, we receive the information you choose to share, such as your name, company, role, email address, phone number, project goals, existing workflows and tools, and correspondence. During an engagement, we may also receive requirements, approvals, deliverables, billing contact details, and payment-status records. We request information relevant to assessing, delivering, or supporting the agreed work. This website currently directs inquiries to email and does not provide an account-registration, payment, or project-file-upload form. Please do not include passwords, payment-card details, or sensitive production records in an ordinary inquiry.

3. Website delivery, technical information, and cookies

The website uses Cloudflare for hosting and delivery. When your browser requests a page, hosting and security services may process your IP address, requested URL, request time, browser or device information, and technical or security logs. Service-related cookies may be used by those services to protect access and prevent abuse. Our email service also processes delivery metadata when you contact us. You can manage cookies through your browser, although blocking necessary cookies may affect security checks or access. We do not use personal information for targeted advertising. Any new website collection or tracking practices will be reflected in this policy and will use consent or choices where required by law.

4. Why we use information

We use information to answer inquiries, assess project needs, prepare proposals, deliver agreed services, document approvals, arrange payments, provide support, and send project or service notices. We also use necessary information to protect our website and systems, investigate problems, keep business records, and meet legal obligations. Client confidential information is not reused in unrelated projects. General methods and reusable code may be retained or reused only without client personal or confidential information and subject to the engagement agreement.

5. Service providers and other disclosures

We do not sell personal information or share it for targeted advertising. Information may be processed by providers supporting website hosting and security, email, file storage and transfer, and agreed payment or project services where needed for those functions. Current website and inquiry providers include Cloudflare and Microsoft Outlook. Other engagement-specific providers depend on the agreed work. We limit access and disclosure to what is needed for the relevant purpose. We may disclose information when required by law or where necessary and permitted to protect rights, prevent fraud, or address security incidents. Providers may process information in the United States or other countries where they operate, under their applicable terms and privacy practices.

6. Project files, access, and client systems

Ordinary project information may be supplied by email or encrypted file. Credentials and sensitive files should use an agreed encrypted transfer or client-controlled access invitation, with decryption secrets shared separately. Do not send passwords in ordinary email. We use access only for authorized work and do not retain client credentials in ordinary project records, source repositories, or logs. Temporary access is removed at completion; continuing maintenance requires a separate authorized access arrangement. Client-hosted production data remains under the client's and its providers' control. A separate scope defines any authorized migration, data changes, or support access.

7. Retention and project completion

At project completion, we delete temporary project information, files, working copies, and unnecessary correspondence from locations we control. Limited records of agreements, approvals, acceptance, payments, ownership, and legal compliance are retained only as needed for those purposes, including applicable tax obligations or disputes. Active maintenance may require minimal ongoing service records and authorized access. We may retain permitted reusable materials and unfinished work we own after cancellation, without retaining unnecessary client data or credentials and subject to confidentiality duties. Retention depends on the record type, the engagement, and applicable obligations; we do not claim that every business record is erased at handoff. Copies in independent provider backups may remain under those providers' retention practices. We cannot erase records on systems controlled by clients or independent third parties.

8. Security

We use reasonable administrative and technical measures appropriate to the information and the agreed work, including limiting access and arranging secure transfer for sensitive material. No transmission, storage service, or software system can be guaranteed completely secure. Please share only what is needed and contact us promptly if you believe information has been sent in error or access has been compromised. Any applicable legal duties concerning a security incident remain separate from the scope or charges of a maintenance plan.

9. Your requests and communication choices

Email Birkerttechnology@outlook.com to request access to, correction of, or deletion of personal information we hold, or to ask about our practices. Depending on applicable law, you may also have rights to receive a copy, restrict or object to processing, withdraw consent where processing relies on it, or appeal a decision. We verify identity as appropriate and respond within applicable legal timeframes, explaining any lawful limits such as necessary record retention or another person's rights. You may ask us to stop optional marketing messages; necessary project, billing, and service communications may continue during an active relationship. For information controlled by a client in its own operational system, contact that client; we assist as authorized and required.

10. Children and external links

Our website and business services are intended for business users and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided information, contact us so we can investigate and take appropriate action. Links to portfolio sites, service providers, or other external websites lead to services with their own privacy practices; this policy does not govern their independent collection or use of information.

11. Policy updates and contact

We update this policy as our practices change and display the revised date on this page. We provide additional notice or obtain consent for material changes where required by law. An update does not silently change a signed client agreement or authorize a new, unrelated use of previously collected information. For privacy inquiries or requests, contact Birkert Technology LLC at Birkerttechnology@outlook.com. General website and engagement policies are available in our Terms of Service at /terms.
